How far ahead do you have to book an Italian wedding venue?
Twelve to eighteen months for a Saturday in peak season. Far less than you think for everything else — and the gap between those two facts is where the good dates live.
Every article on this subject says eighteen months. That number comes from one specific case — a Saturday in June at a well-marketed venue — and it is then repeated as though it applied to every date in the year.
It does not, and believing it costs couples real money. A Friday in late October at a beautiful estate in the Prosecco hills can sometimes be had five months out, at a price that would not be on offer for the Saturday.
The honest answer, by season and by day
- Saturday in May, June, September or early October — twelve to eighteen months. This is the number everyone quotes and for this specific case it is correct.
- Friday or Sunday in those same months — eight to twelve months, and frequently cheaper for the same room.
- Any day in late April, or the second half of October — six to nine months. Good weather is likely and demand drops sharply.
- November to March — three to six months, sometimes less. Venice in January is extraordinary and half-empty.
What actually gets booked first
Not the best venues. The most visible ones.
A venue's position in your search results is a function of its marketing budget and its commission arrangements with directories, not of the quality of its terrace. Family-run estates with no English website and no directory listing are frequently available eight months out in a month when the heavily marketed villa two valleys over has been gone for a year.
This is the single largest inefficiency in the Italian wedding market, and it is the reason a shortlist built by someone who telephones venues looks different from a shortlist built by someone who searches for them.
Why the long lead time is mostly a Saturday problem
A venue that hosts thirty weddings a year hosts most of them on Saturdays between May and September. That is roughly twenty Saturdays competing for the same demand from four countries. The Fridays and Sundays either side of those same dates are often half empty.
For a destination wedding this matters less than it would at home. Your guests are flying to Italy and taking days off regardless; whether the party is on a Friday or a Saturday changes very little for them and can change a great deal for you.
If you have less time than that
- Move to a Friday or a Sunday. Often twenty to thirty per cent cheaper as well as more available.
- Move one week either side of the peak. The last weekend of April and the third weekend of October are a different market from the second weekend of June.
- Consider a Thursday. Unusual at home, unremarkable for a destination wedding where everyone has travelled and taken the week anyway.
- Widen the region before you widen the date. There are good venues forty-five minutes from the famous ones that nobody outside Italy has heard of.
What a venue means when it says "available"
Three different things, and the difference matters.
- Free — nobody has asked. Means nothing tomorrow.
- On option — someone has a provisional hold, usually for one or two weeks. You can often be second in line, and first options lapse more often than people think.
- Held for you — the venue has agreed to stop selling the date. Ask until when, and in writing.
Always ask: is the date free, on option, or held? And if it is held for us, until what date, and what makes it binding?
The deposit
Italian venues commonly take twenty to thirty per cent on signature, with the balance staged across the months before the wedding. Before you pay it, ask two questions that most couples only ask afterwards.
- What happens if we cancel — at six months, at three months, at one month?
- What happens if you cancel, or the building becomes unusable? What is the venue's own liability?
The second question is asked far less often than the first and is the more revealing of the two.
Booking early is not the same as booking well. Twelve months of lead time spent on the wrong venue is worse than four months spent on the right one.
